Universities, hospitals, and corporate offices carry a different set of requirements than residential picture framing. The work is larger in scope, longer in cycle, and more exacting in documentation. Our shop handles that full scope: from initial sample submission through phased delivery and installation coordination.
This is not a service we offer through an online configurator. Institutional projects require direct conversation, physical samples, and a working relationship built before the first purchase order is issued. We work with interior designers specifying art packages, facilities managers coordinating refreshes outside construction cycles, and procurement departments issuing formal RFPs. We're comfortable working in all three paths and understand how decisions move through operational, financial, and compliance layers at different speeds.
For project specifications in development, refresh programs in planning, or RFP responses in preparation, request our capability sheet at the link below or book a consultation to discuss your project scope and timeline.
Picture Framing for Institutional Procurement Programs
Four steps from first contact through phased delivery against your construction or refresh schedule. The workflow is built around how interior designers, facilities, procurement, and compliance teams actually move institutional projects.
- 1
Initial conversation
Contact us through the capability sheet request or consultation booking. Many institutional projects benefit from an early exchange about finish samples, lead times, and documentation requirements before any artwork comes through the door. The conversation typically includes the interior designer, facilities coordinator, or procurement contact responsible for the project. Where appropriate we participate in pre-bid calls and walkthrough conversations alongside the GC and architect.
- 2
Sample submission and approval
For institutional projects requiring formal sample approval, we provide sample submissions from in-stock moulding inventory to keep approval timelines moving rather than stalling at the sample stage. Custom finishes outside in-stock inventory require additional lead time. Sample submissions move through your institution's approval chain at your pace; we hold production capacity until samples are approved so the schedule does not slip when sign-off arrives.
- 3
Purchase order and documentation
Once specifications are approved and the purchase order is issued, we commit to specific lead times and production schedules. Documentation packages including material spec sheets, lead time commitments, and warranty terms formatted for institutional records are provided as part of the order package. For projects with insurance or appraisal documentation requirements, we coordinate that paperwork at the order stage.
- 4
Phased delivery and installation coordination
Multi-phase institutional projects (multi-floor, multi-building, multi-department) benefit from phased delivery schedules coordinated with construction or renovation timelines. We coordinate with your installation contractor, GC, or in-house facilities team on delivery logistics, packaging, and any project-specific handling requirements. Where the install crew benefits from cartons labeled in placement order, we package accordingly.
Institutional project types we handle
Seven categories cover most B2B institutional framing work. Your project may sit cleanly in one or span several; we engage with the full scope at consultation.
University academic and administrative
University projects span from campus art programs requiring extensive framing programs to academic department corridor installations to administrative office decor refreshes. Common projects include framed artwork for student union spaces, faculty office display programs, departmental gallery wall installations, honor wall and recognition program framing, and campus event documentation programs. We work with academic affairs offices, campus art curators, facilities directors, and procurement departments depending on the project structure.
University gallery and exhibition
Permanent and temporary exhibition framing for university galleries, museum spaces, and library exhibitions. These projects often involve conservation framing requirements, gallery-grade material specifications, and coordination with curatorial staff on display specifics.
Hospital patient-facing areas
Hospital framing programs for patient rooms, waiting areas, corridors, and patient lounges. Healthcare framing in patient-facing areas must comply with facility-specific safety codes. Combustible decorative materials in healthcare environments are often subject to NFPA 701 requirements, and the exemptions for photographs and framed artwork vary by state, facility occupancy classification, and the Authority Having Jurisdiction. We do not assume exemptions apply; we ask and work with your facilities team to confirm what is required before production begins.
Hospital administrative
Hospital administrative office framing has different requirements than patient-facing areas. Executive offices, board rooms, department offices, and physician lounges typically have more flexibility on materials specification. Recognition wall programs, historical photograph collections, and donor recognition framing are common.
Corporate executive offices
Corporate framing programs for executive offices, conference rooms, boardrooms, and leadership areas. These projects typically emphasize brand consistency, finish quality matching corporate design standards, and predictable lead times for office build-outs or refreshes.
Corporate common areas and hospitality
Corporate lobby, common area, and employee gathering space framing. Includes recognition programs, company history displays, philanthropy or sponsorship framing, and decorative art programs. Often coordinated with corporate interior designers managing FF&E specifications.
Corporate multi-unit programs
Multi-unit corporate offices (financial services, law firms, consulting) often have consistent framing requirements across multiple offices in different cities. We coordinate consistent specifications across multi-office programs with documented reorder specifications for new offices.

Institutional sample submission and specification review. Physical samples move alongside written spec sheets through your approval chain.
Documentation and compliance for institutional projects
Seven documentation and compliance considerations that come up routinely on institutional B2B framing projects. Each is worth understanding before specification is finalized.
Material specifications package
Institutional projects typically require documented material specifications for facilities records, warranty registration, and insurance documentation. We provide material specs documenting moulding profiles, mat materials, backing specifications, hardware details, and finish characteristics. Documentation is formatted appropriately for institutional records management and can be delivered in your team's preferred template where needed.
NFPA 701 and fire code considerations
Healthcare facilities, university dorms, and certain other institutional settings have flame spread and fire code requirements for decorative materials including framed artwork backing materials. Specific requirements vary by jurisdiction, facility type, and occupancy classification. We discuss appropriate backing material specifications and provide documentation for compliance review. We recommend confirming specific requirements with your facility compliance officer or Authority Having Jurisdiction before finalizing specifications; we provide everything needed for those conversations.
ADA and protrusion requirements
For framed pieces installed in ADA-regulated spaces (hospital corridors, university public areas, corporate ADA-compliant common areas), wall protrusion limits affect frame and shadow box depth. Objects mounted between 27 inches and 80 inches above finished floor are generally limited to 4 inches of protrusion into circulation paths. We account for this in frame design and specification so deep shadow boxes do not end up out of compliance after installation.
Lead time commitments
Institutional procurement cycles run months from initial specification to delivery. Construction-coordinated projects have firm dates that affect downstream trades. We commit to specific lead times at the purchase order stage and structure production to meet those commitments. For complex multi-phase projects, we coordinate delivery phases with your installation contractor or GC schedule.
Warranty terms
Institutional warranty terms typically extend beyond consumer framing warranty terms appropriate to commercial use and institutional record-keeping. Specific warranty terms appropriate to your project are documented in the order agreement and our capability sheet.
Replacement inventory
For ongoing institutional programs (operating hospital systems, university campuses, corporate office networks), we maintain documented reorder specifications so replacement units match the original installation. New buildings, refresh cycles, expansion projects, and damage replacements all benefit from documented specifications that eliminate the matching guesswork and let your facilities team reorder against a clear single point of contact.
Insurance and appraisal
For projects involving valuable artwork or institutional collections, we coordinate appropriate framing for insurance and appraisal documentation. Materials, processes, and dimensions are documented for institutional records and any subsequent appraisal or claim processes.
Why institutional procurement chooses us
Five reasons facilities managers, interior designers, and procurement officers route their institutional framing through our shop.
Institutional-appropriate workflow
We understand institutional procurement processes. RFPs, sample submissions, formal documentation, vendor approval processes, phased delivery coordination. These are routine work, not unusual asks, and our sales and production teams expect the cadence of an institutional project rather than treating it as exception handling.
Long-cycle project comfort
Institutional projects can run months or longer from initial specification to delivery. We're comfortable with long cycles. Many projects we participate in are in schematic design phase when the conversation starts, and we expect to stay engaged through sample, approval, PO, and phased delivery.
Multi-stakeholder communication
Institutional projects often involve multiple stakeholders: designers, procurement, facilities, compliance officers, and end users. We adapt communication to whoever is the right contact at each project phase without requiring all communication to flow through one channel.
Regional Northeast capability
Our New Jersey location serves institutional projects throughout the Northeast: New York metropolitan area, Pennsylvania, Connecticut, and the Mid-Atlantic states. Regional presence enables sample submissions, site visits when needed, and shorter delivery logistics compared to cross-country production partners.
Documented institutional experience
We have completed B2B institutional framing programs at various scales, across university systems, healthcare networks, and multi-office corporate clients. Reference projects and case discussions are available at the consultation stage for prospective institutional partners assessing fit.
